About the Opportunity

Under the general supervision of a Legal Services Supervisor, you will provide high-quality, specialized legal administrative assistance and file management support to two or more lawyers.
Operating in a highly confidential environment, you will manage shifting priorities under inflexible deadlines, balancing administrative tasks with specialized legal support while maintaining absolute discretion and attention to detail.

Primary Accountabilities

Legal Assistance & Lawyer Support

  • Prepare, file, and serve legal documents within prescribed or assigned court and administrative deadlines.
  • Query and retrieve legal case law, precedents, and relevant documentation as directed by counsel.
  • Provide specialized assistance for lawyers representing government departments, agencies, boards, and commissions.

Secretarial & Administrative Support

  • Draft routine correspondence, reports, presentations, and legal documents.
  • Manage complex calendars, schedule appointments, book meeting rooms, court reporters, interpreters, discoveries, witnesses, and travel arrangements.
  • Act as a primary point of contact for internal and external clients, providing file updates and procedural information.
  • Work collaboratively within a team environment, providing administrative coverage across desks as required.

File & Records Management

  • Create, track, and maintain active litigation and advisory files within electronic shared directories, databases, and the Central Registry filing system.
  • Organize hard-copy and electronic records using the STAR/STOR classification system.
  • Ensure files are up-to-date, properly cataloged, and brought forward for review by lawyers as needed.

Qualifications & Experience

  • Education: Successful completion of a certificate or diploma from a recognized Legal Assistant or Paralegal program (equivalencies will be evaluated based on education and experience).
  • Technical Skills: Proven proficiency in an automated office environment, including advanced MS Word, accurate typing/dicta-typing, and database navigation.
  • Knowledge Base: Familiarity with legal terminology, court procedures, and document preparation.
  • Core Competencies: Exceptional organizational and time-management skills; superior written and oral communication; strong analytical skills; and the ability to handle sensitive information with strict confidentiality and impartiality.

Assets

  • Knowledge of the various levels of Court and Civil Procedure Rules.
  • Familiarity with provincial government departments, agencies, and boards.
  • Prior experience utilizing the STAR/STOR record classification system or enterprise file management databases.

Compensation & Benefits

  • Salary Range: $1,719.61 – $2,495.64 Bi-Weekly (Pay Grade: TE 13 – TE 19)
