About the Opportunity

Under the general supervision of a Legal Services Supervisor, you will provide high-quality, specialized legal administrative assistance and file management support to two or more lawyers.
Operating in a confidential and high-pressure environment, you will manage shifting deadlines, balance routine administrative tasks with specialized legal support, and maintain absolute discretion and accuracy in all daily operations.

Primary Accountabilities

Legal Assistance & Lawyer Support

  • Provide specialized legal administrative assistance for counsel representing government departments, agencies, boards, and commissions.
  • Ensure all court and administrative documents assigned by lawyers are prepared, filed, and served within strict statutory deadlines.
  • Query, retrieve, and organize legal case law, precedents, and relevant documentation as directed.

Secretarial & Administrative Support

  • Draft, format, and proofread correspondence, reports, presentations, and legal documentation.
  • Manage complex calendars, schedule appointments, book meeting rooms, court reporters, interpreters, discoveries, witnesses, and travel arrangements.
  • Act as a reliable point of contact for internal and external clients, providing timely file updates and procedural information.
  • Work collaboratively within a team environment, providing administrative coverage across desks as required.

File & Records Management

  • Create, track, and maintain active litigation and advisory files within electronic shared directories, databases, and the Central Registry filing system.
  • Organize hard-copy and electronic records using the STAR/STOR classification system.
  • Ensure files are up-to-date, properly cataloged, and brought forward for review by lawyers as needed.

Qualifications & Experience

  • Education: Certificate or diploma from a recognized Legal Assistant or Paralegal program (equivalent combinations of education and experience will be evaluated).
  • Technical Skills: Proven proficiency in an automated office environment, including advanced MS Word, accurate typing and dicta-typing, and database navigation.
  • Knowledge Base: Firm grasp of legal terminology, court procedures, and legal document preparation.
  • Core Competencies: Exceptional organizational and time-management skills; superior written and oral communication; strong analytical capabilities; and the ability to handle sensitive information with strict confidentiality and impartiality.

Assets

  • Knowledge of various levels of Court and Civil Procedure Rules.
  • Familiarity with provincial government departments, agencies, and boards.
  • Prior experience utilizing the STAR/STOR record classification system or enterprise file management databases.

Salary Range & Total Rewards

  • Salary Range: $1,719.61 – $2,495.64 Bi-Weekly (Pay Grade: TE 13 – TE 19)

Working Conditions & Additional Information

  • Work Schedule: Permanent, standard 35-hour work week (7 hours/day), with occasional overtime requirements.

  • Physical & Mental Demands: Extended periods seated at a desk focusing on computer monitors, alongside regular movement to file storage areas and occasional bending/lifting of file boxes. The work environment may occasionally involve exposure to sensitive files or challenging interactions.
