PROFILE
We are currently recruiting for a senior level Legal Administrative Assistant to join our fast paced team. The incumbent will provide support to professionals within the Entertainment and Sports Law Group.
RESPONSIBILITIES
The incumbent’s responsibilities may include and are not limited to the following:
Manage all expenses in a timely manner and with utmost care, following up on reimbursements, as required
Strong e-filing skills – takes interest in parties/subject matter in order to enhance abilities in this area, ensuring that files are descriptive for easy retrieval
Tracking of execution of multiple agreements through practice management systems
Establishes and maintains effective working relationships with senior executive contacts/clients
Organizes and facilitates meetings, special events, books appointments, airfare, hotel arrangements and confirms reservations, attendance and agendas. Provides executive administrative support and follow-up on matters on behalf of professional
Thoroughly manages calendars and contacts, and is able to heavily implement and maintain practice management systems on behalf of busy professionals
Liaise with Billing Clerk to effectively prepare accounts, manage pre-bills and billing process, having a strong working proficiency with all accounting and billing procedures
Manage File Opening and Conflict processes and correspondence that goes with each process
Strong knowledge of general office procedures, office systems, file management and associated policies
Confidentiality, discretion and a high degree of professionalism are critical due to sensitive client high profile material and information
Take instruction, prioritize incoming work, follow through on assignments and manage ongoing tasks
A fundamental understanding of French, would be an asset
Any other duties as required
QUALIFICATIONS
Graduate from a recognized Legal Secretarial, Law Clerk or Administrative/Executive Assistant program with at least 8+ years of experience as a Legal Administrative Assistant
Interest in and understanding of entertainment and sports law
Thorough knowledge of contracts and contract procedures
Exceptional interpersonal skills with a high degree of professionalism and discretion, having the ability to communicate in a professional, efficient manner with clients and external contacts, as well as internally throughout the firm
Strong attention to detail with exceptional proofreading abilities
Must be pro-active with exceptional organizational and prioritization abilities
Fast and accurate typing speed, who produces a high quality product and takes pride in their work
Excellent oral and written communication skills, including a strong knowledge of grammar, and exceptional spelling
Ability to deal with pressure, changing priorities and multi-tasking, and be open to learning and employing new concepts and work styles
Ability to work well in a team as well as independently, especially with lawyers who have international practices
Ability to excel in a deadline-driven environment and the ability to work after hours, sometimes on short notice, in order to meet deadlines
Excellent proficiency with Word 2016, Outlook, iManage, PowerPoint, Excel and Expert Time

Drafting and serving legal documents, including Statements of Defence, Affidavits of Documents, Motion Records, and filing them with the court;
Conducting limited legal research;
Filing/updating Galexy, the legal department’s database;
Paying invoices;
Coordinating and scheduling meetings, courses and programs;
Handling phone calls and messages for lawyers when required;
Processing/distributing incoming mail;
Making travel arrangements;
Being the department’s main administrative support during Executive Legal Secretary’s vacations.
Qualifications:
Student currently in college or university, available 7.5 - 15 hours per week during the school year and full time in the summer (37.5hrs);
Ability to work both independently and under pressure in terms of tight deadlines;
Strong attention to detail, ability to maintain confidentiality, good organization skills;
Ability to communicate clearly and concisely;
Intermediate computer and word processing skills, including the Microsoft Office Suite software;
Interest in law considered an asset;
Willing to go at the office once in a while.
