Job Summary

We are currently seeking a Legal Assistant to join our Labour and Employment team. They will have a strong work ethic, be collaborative, professional, adaptable and positive and interested in their work.

Hours of work are from 9 am to 5 pm. Occasional pre-authorized overtime may be required to meet client needs.

Primary Responsibilities

  • Handling all administrative duties such as file openings and ongoing file maintenance, preparing cheque requests, coordinating meetings, processing incoming and outgoing mail and preparing expense reports;
  • Managing key dates and updating calendar for lawyers, including meetings, appointments, due dates, discoveries, expert witness and other court-designated hearings;
  • Preparing correspondence, documents and presentations;
  • Take responsibility for arranging to serve and file pleadings, motions and appellate documents with the court (all levels of court, including Provincial) in accordance with the Rules of Civil Procedure, the Provincial Offences Act and practice directions; As well, from time to time, serve and file Ontario Labour Relations Board and Human Rights Tribunal documents in accordance with the OLRB and HRTO Rules of Procedure and practice directions;
  • Communicating with court staff, as necessary; keep current with changes in court rules and filing procedures;
  • Provide back-up assistance to various professionals and/or assistants within the team, as required;
  • Other duties as assigned.

Required Knowledge and Experience

  • Completion of a post-secondary Legal Assistant or Law Clerk course and three to five years’ experience working in the area of Civil Litigation and/or Labour and Employment law. Knowledge of Occupational Health and Safety and Workers’ Compensation would be an asset;
  • In-depth knowledge of legal terminology, court rules and procedures (including the Ontario Court of Justice, Provincial Offences Court, Federal Court of Appeal, Provincial Court of Appeal would be an asset);
  • Proficiency and working knowledge in MS Office 2010, Windows 7, Worksite DMS, Elite, 3E and ACL.


This role has a dual reporting relationship with the lawyers in the share and the Legal Assistant Supervisor.
