ONA is seeking to hire a Legal Secretary/Office Assistant/Labour Relations Assistant for our North District Service Team (NDST), Sudbury Office. The successful candidate will provide administrative support by handling legal and administrative tasks, document database management, transcribing amendments to contracts to support our Labour Relations Officers and Litigators in the field and providing general office coordination. 

Our ideal candidate will demonstrate expertise, judgment and independence to provide advanced-level administrative coordination and support across her/his team with a professional and service-focused approach. With high attention to detail and exemplary initiative, the successful candidate will be accountable for providing support to members and staff, and in collaboration with our Labour Relations Officers, in a manner that is consistent with our member values.

This is what else you can expect from this dynamic role:

  • Make observable contributions to the success of other team members and the overall performance of the team.
  • Calendar management and meeting logistics; can include ordering food, coordinating appointments and scheduling calls.
  • Receive inquiries by telephone and in person and direct callers to the appropriate team member.
  • Process incoming/outgoing mail and couriers ensuring the most efficient method is used for distribution.
  • Transcribe, draft and/or prepare documents including letters, memos, and correspondence or copy-typing handwritten notes.
  • Produce and proofread materials/documents for our Labour Relations Officers.
  • Help prepare, compile, serve and file various applications and responses for proceedings before various administrative tribunals.
  • Summarize records and maintain files of arbitration awards for rights and interest cases.
  • Maintain information specific to grievances/arbitrations tracking.
  • Records management (electronically and hard copy); identify priorities within the tracking system (can include photocopying and scanning documents).
  • Distribute new and amended collective agreements.
  • Ensure adequate supply of general office supplies, stationary and other office equipment/supplies as needed
  • Administer invoice transactions for office expenditures
  • Coordinate and maintain ongoing organizational projects as assigned.

What we are looking for:

The successful candidate will possess:

  • Post-secondary certificate and/or diploma in Business Administration, Legal Administration, Administrative Services or a related field.
  • Three (3) to five (5) years of relevant experience as a legal secretary and/or legal assistant in labour and employment law or litigation matters; including one (1) year of facilities/office coordination experience required (or equivalent combination of education/experience satisfactory to ONA).
  • Records management experience.
  • Certificate, courses and/or experience in project management/coordination is an asset.
  • Advanced knowledge of Microsoft Office (including Word, Excel and PowerPoint) and demonstrated experience in database management.
  • The ability to work professionally with people from various levels of the organization; impeccable interpersonal, written and verbal communication.
  • Demonstrated ability to multi-task, prioritize and manage multiple deadlines in a fast-paced environment in accordance with instructions/process; high level of accuracy and strong attention to detail.
  • Adaptable and flexible individual who can work effectively as part of a team.
  • Ability to speak other languages is considered an asset
