Job Description

We are currently seeking an experienced Legal Assistant to join us in our Municipal, Planning & Environmental Law practice. The purpose of this position is to provide full clerical, administrative and general office duties to meet the needs of the firm and clients.

Responsibilities include:

Practice management.

  • Process and revise electronic documents including editing and copy and dicta typing
  • Work with all forms of legal documents including agreements, letters, memos, presentations, organizational charts and litigation specific documents
  • Proofread documents against originals and prepare blacklining as necessary
  • Compose client correspondence and maintain practice specific databases
  • Answer telephone calls, respond to emails, take messages
  • Maintain extensive filing system within minute book room
  • Prioritize mail and workload
  • Provide assistance to other Legal Assistants with workload, when needed



Schedule coordination.

  • Schedule appointments and prepare necessary materials
  • Arrange for conference calls including contacting participants and providing call details
  • Arrange meetings by booking facilities and other meeting requirements i.e. lunch, audio visual equipment

Docket entry.

  • Docket entry, prepare cheque requisitions and process accounts when appropriate
  • Correct docket text as needed and review time and costs to ensure accuracy
  • Make transfers as necessary
  • Administrative duties for billing professional(s).

Practice and section support and promotion.

  • Respond to questions from firm members relating to section or practice and/or refers to appropriate person as needed
  • Coordinate work with other Legal Assistants and support services to ensure required actions are completed in a timely manner and appropriate support is provided to the legal practices they are supporting
  • Provide assistance to others during absences as needed
  • Take on and assist with other section projects, activities and events as needed




  • Previous legal assistant experience supporting a busy share/group preferred

  • Previous experience in municipal, land development law, or litigation an asset

  • Ability to organize, multi-task, and prioritize appropriately

  • Excellent client service skills

  • Knowledge of document management practices and general large firm office administration processes and procedures

  • Solid written/verbal communication and interpersonal skills

  • Proven problem solving skills, with the ability to be flexible and to work effectively with others

  • Excellent knowledge of MS Office Suite including: Outlook and Word

  • Knowledge of law firm accounting and workflow applications

  • Proficiency with applicable practice specific software and databases

  • Post-secondary education with a focus on legal administration or equivalent

  • Strong work ethic, demonstrated initiative, self-directed and advanced ability for task completion with minimal supervision
