Pushor Mitchell LLP is currently seeking a Wills and Estates Legal Assistant to join our team. Job Requirements may include:
Assisting with estate planning and estate administration files
Working with clients to gather information and assisting with client meetings
Preparing probate and estate administration documents
Liaising with various external bodies including beneficiaries, financial institutions, the Public Guardian and Trustee’s office, etc.
Drafting Wills, POA’s, RA’s and other estate and incapacity planning documents
Conducting searches, such as corporate, land title and personal property registry
Liaise professionally with all internal and external clients
Handle administrative details with respect to maintaining contacts, e-filing, client list, accounting, opening and closing files and billing, etc.
Calendar management including arranging meetings
Assist with vault coordinator duties (including; scanning, creating report books, data entry into wills database etc.)
The ability to be flexible to the changing demands of the job
Billings, file management and document administration
Answering phone calls and emails, setting appointments and meetings
Other general legal administrative duties as required.
Knowledge, Skills and Abilities Required:
2+ years experience in wills and estates planning and estate administration
Strong knowledge of MS Excel, Word, and Outlook products
Strong attention to detail and ability to work with confidential information
Ability to work independently on tasks and in a team-orientated setting
The ability to manage a variety of incoming requests and prioritize workload to meet deadlines
Experience with programs such as Worldox and Aderant are an asset
A Legal Assistant or Paralegal certificate or diploma is required

Career Opportunity: Legal Assistant
Experienced Legal Assistant with a background in Tax or Corporate Law or Trusts. This is an excellent opportunity to work with a firm that prides themselves on providing the very best to their clients and they want to do the same for their employees.
Responsibilities will include:
Preparation of documents to appeal Canada Revenue Agency decisions including extension requests, Notices of Objection, and submissions to Appeals Officers/Auditors;
Preparation of Tax Court documents including pleadings, submissions and other court documents;
Drafting correspondence to the Tax Court, Canada Revenue Agency and to clients;
Document and file organization;
Preparation of corporate documents and society documents, maintaining records and filings including document binders in paper and electronic form;
Preparation of documents to create and maintain charitable foundations;
Maintaining an up-to-date file and diary system;
Building a positive rapport with clients;
Managing administrative aspects of the lawyers' practice/calendar with minimal supervision;
Experience with solicitor transactions, incorporations, dividends, redemptions, rollovers, amalgamations and dissolutions;
Establishment of trusts and tax transactions;
Service and filing of court materials;
Maintenance of all trial, document and appeal binders and limitation systems; and
Other duties as assigned.
Must have a Legal Assistant Diploma from an accredited College;
Experience in one or more of the foregoing responsibilities is a requirement;
Strong administrative and organizational skills;
Ability to work under pressure and be flexible in order to adapt to changing situations easily;
Must be able to juggle multiple priorities, meet deadlines and exhibit sound judgment
Exceptional attention to detail and communication skills;
Advanced computer skills in Microsoft Word, Excel and PowerPoint as well as digital dictation software;
Ability to work with minimal supervision as well as part of a team.
