Regulatory Law Chambers (“RLC”) is in search of a high performing, hard working, responsible individual that enjoys working in a team environment. The Hybrid Legal Support Supervised Legal Services and Office Support Provider provides paralegal, legal assistant and office administration support related tasks. This is a hybrid role governed by the needs of a specific project. This individual reports to and works closely with other RLC team members to successfully achieve the oil, gas and electricity related regulatory objectives of RLC’s clients. Essential Job Functions/Responsibilities Assist lawyers by preparing facts, legal documents, or summaries of law, regulations and policies relevant to matters. Conduct research to support a legal matter and to formulate positions. Prepare documents, such as legal correspondence, and organize and maintain documents in paper or electronic filing system compliant with office policies and systems. Prepare for proceeding by performing tasks such as organizing exhibits. Meet with clients and other professionals to discuss details of case. Gather, organize, analyze and synthesize research data, such as law, decisions, and legal articles, policies and other documents. Investigate facts and law of cases and search pertinent sources, such as public records. Accurate document preparation, drafting, review, revisions and formatting. Provide the final review of the document to ensure accuracy (no typographical errors and correct grammar) including citations accuracy and being compliant with office policies. Research on various regulatory related topics including the use of Westlaw, websites of the regulators and company websites. Maintaining up to date regulatory proceeding records (both electronic and paper) consistent with office policies. Client matter management including opening new matters in accordance with office policies, monitoring and managing proceeding record documents (saving, review, and filing) and keeping lawyers and clients apprised of updates and next steps. Diarizing and managing proceeding deadlines in calendars of legal service providers, clients and experts. Attending team meetings as required, drafting and distributing meeting minutes. Corresponding with clients to schedule meetings, distribute document drafts, consolidating document revisions and inform of filings, as instructed. Timely and accurate completion of submissions for filing at regulatory jurisdictions and forwarding to clients and other interested parties as required. Preparation for and attendance at hearings (as required). Tracking legal service providers’ time entries. Coordinating and scheduling client meetings, including arranging for food service, and preparing boardroom for meetings (as required). Preparation and distribution of client invoices including time entry, invoice review and revisions, disbursement entry and accounts receivable tracking. Monitoring legal services providers calendars as required. Booking appointments, meetings, reservations and meetings for team members. Arranging travel for legal services providers, as required. Greeting visitors to office and offering food or beverage, as required. Review of and revisions to monthly regulatory newsletter, finalizing, uploading to website and distributing. Office organization including ordering office infrastructure, supplies, kitchen duties and maintaining plants. Keeping accurate and complete daily time entries. Regular and predictable work site attendance. Ability to work under stressful conditions. Ability to work overtime hours when required to fulfill job responsibilities in timely manner. Experience working with energy legal service providers in complex regulatory proceedings is an asset. Experience with the Alberta Utilities Commission, Alberta Energy Regulator or National Energy Board (or another provincial regulator) is an asset. Experience with an electricity or oil and gas company is an asset. Experience in a paralegal, legal assistant or office administrator role is an asset.
